Superyacht IHM Checklist

A practical, printable checklist for keeping your Inventory of Hazardous Materials current and survey-ready, for vessels 500 GT and above.

Use this checklist as a working reference for IHM upkeep and survey preparation. It is a starting point, not a determination — the exact obligations for your vessel depend on flag, tonnage, and trading pattern, so confirm them with your flag State administration or class society. MANTIS does not certify your IHM or assume responsibility for compliance; that sits with the vessel's competent crew.

1 Scope & certificates

  • Gross tonnage confirmed from the International Tonnage Certificate (500 GT+ = in scope of HKC / EU SRR)
  • Applicable regime identified — HKC (international voyages) and/or EU SRR (EU flag or EU port calls)
  • Current certificate held on board — ICIHM and/or EU Inventory Certificate / Statement of Compliance
  • Certificate expiry date recorded and tracked
  • Next survey date (annual / intermediate / renewal) confirmed with class
  • Superseded certificates retained as part of the vessel's IHM history

2 Part I — structure & equipment

  • Part I inventory present and populated (not blank)
  • Table A and Table B materials recorded with quantity and location
  • Every material change since the last survey logged in the change record
  • Identical replacements noted in the change log (even where no revision is required)
  • Removed materials archived, not deleted, with date and quantity
  • ODS entries reconciled against the ODS Record Book (MARPOL Annex VI)

3 Part II — operationally generated waste

  • Waste streams indexed by relevant MARPOL Annex (I, IV, V, VI)
  • Entries cross-referenced to the corresponding record book (no duplication)
  • Shore-facility disposal receipts filed against entries (retained 3+ years)

4 Part III — stores

  • Current Safety Data Sheet (SDS) held for every hazardous product on board
  • Superseded SDS marked with withdrawal date and retained
  • SDS currency checked (an SDS more than a few years old is usually superseded)
  • Spare parts containing controlled substances listed with substance and quantity

5 Material changes & refits (MD/SDoC)

  • Designated Person assigned for IHM upkeep
  • Contractors briefed on MD/SDoC requirements before work begins
  • Material Declaration or SDoC requested from suppliers before installation
  • MD/SDoC collected progressively during the refit (not as a batch at the end)
  • Each document filed against the change it supports
  • Post-refit reconciliation: all changes logged, all documents filed

6 Reviews & pre-survey preparation

  • Change log complete with no undocumented gaps since last review
  • Part I working file matches the change log and the vessel's real state
  • Onboard copy synchronised with the master copy ashore
  • Previous survey findings closed with evidence
  • Changes summary prepared for the surveyor
  • Preparation started at least 2 weeks before the survey date
